Final submission instructions

Information for accepted authors

First of all, congratulations on acceptance of your paper! We look forward to meet you in Coimbra. Please find bellow the guidelines to submit the final version of your paper by July 10, 2023.

Paper style

Submissions are solicited for in 6 pages A4, two-column, IEEE style. All accepted papers, orals and posters, will be included in IEEE Explore.

Extra pages

The extent of regular papers is 6 pages. An extension up to two extra pages is allowed at extra charge 100 EUR/page.

No-show policy

At least one author for each accepted paper is expected to be registered prior to a camera ready submission and present the paper at the conference. No-shows will not be included in the final proceedings.

Poster format

Recommended poster dimension is DIN A0 (1189mm height x 841mm width). All poster paper speakers must prepare a short spotlight presentation with a duration of 5 minutes.

Adding the IEEE Copyright Notice

The appropriate copyright clearance code notice is to appear at the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. The copyright notice should appear about 1 cm below the left column, and should be aligned to the left with the same left margin as the column.

The copyright notice to be added depends on the circumstances as follows:

* For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

Tips for adding the IEEE copyright notice to your pdf:

* You may want to first prepare your pdf, and then add the IEEE copyright notice separately using a pdf editing program. You can then re-print the document in pdf format and then validate it using IEEE PDF eXpress.

* If you are preparing your paper in LaTeX, you can place the copyright notice into the \thanks{} command:

PDF Compliance

To check the .pdf for IEEE compliance, you will have to log into IEEE pdf eXpress at https://www.pdf-express.org. Use conference ID # 59166X.

Create a new user with your email unless your email is already registered from another conference. Upload your paper and you will receive a mail with either errors or with a confirmed pdf. Upload this confirmed pdf to the EasyChair paper submissions system as the final version. Before uploading the final version, please make sure that submission and author(s) information are accurate. Should the sent file not satisfy the compliance requirements, it will be excluded from publication.

IEEE Electronic Copyright Form

The authors of the paper have to submit a Copyright Form, necessary for the inclusion of the paper in the proceedings of the conference, published by IEEE. The ECMR conference uses the IEEE Electronic Copyright Service (eCF). EasyChair is a vendor authorized by IEEE to handle copyright agreements. Each of the corresponding authors of the paper will receive an email with detailed instructions on how to sign the copyright agreement through EasyChair. Please note that all clearances for publication must be obtained by the authors. By filling in the form, you are stating that the material in your paper is original and you have not previously released copyright for this paper and/or its content to another party. The paper cannot be published in the proceedings if the form is not properly completed.

Please prepare your paper using the available IEEE LaTeX or Microsoft Word templates:

and following the same paper preparation instructions as with the initial submission. Make sure to have the latest templates and do not change the formatting in any way.
